The Structure That Works

  1. Subject line with property reference: Address and reference number (if available).
  2. Introduction: Who are you? Profession, employer, household size.
  3. Motivation: Why this apartment? (Factual, not emotional)
  4. Reliability: Reference to landlord references and complete dossier.
  5. Closing: Polite, open for questions.

Language: German or English?

In German-speaking Switzerland, always German — even if you are an expat. Property managers communicate in German and expect the same from tenants. Only if the management explicitly advertises or communicates in English can you respond in English.

How long should the cover letter be?

Maximum half a page to one page. 6-10 sentences are enough. Property managers have little time — get to the point quickly.

German or English?

In German-speaking Switzerland, always German — unless the property management explicitly communicates in English. When in doubt: German.

Should I tell my life story?

No. Only relevant facts: profession, household size, income (indirectly), reliability. No emotions, no dramas.

Do I need to state my income?
